How do I add a tutor for a new subject?

Since your Learning Membership plan tutoring hours can be shared across multiple subjects, you can add a tutor for a new subject by starting a new tutor request by following the steps below:

To Add a Tutor for a New Subject:

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Select Tutoring from the left-side menu.
  4. Within the New Subject box, click Start Journey.
  5. Select one:
    1. Help me find a tutor
      1. Type in the desired subject into the search bar.
      2. Follow the on-screen prompts to enter your:
        1. Frequency
        2. Session Length
        3. Availability
      3. Finalize you details:
        1. Preferred Start Date
        2. Goals & Notes (Optional)
      4. Click Submit Request
    2. I want to browse the tutors gallery
      1. Filter by name or university
      2. Filter by subject
      3. Click Schedule a Session in the desired tutor's bio
      4. Select the desire subject
      5. Select the Session Length
      6. Select Frequency
      7. Select your available days
      8. Select your desired Start Date and Start Time
      9. Select Series Duration
        1. Ongoing or Fixed End Date
      10. Add Notes (Optional)
      11. Click Schedule Sessions

How do I reset my password?

In order to reset a lost or forgotten password, follow these steps:

  1. Visit the Varsity Tutors Forgot Password page.
  2. Enter the email address associated with the account.
  3. Click Send Reset Link.
  4. Check the associated email for a message with the subject Varsity Tutors Password Reset and follow the instructions provided.

If the email hasn't arrived within a few minutes, please check your spam or junk folder.

How do I find extra practice and other resources?

Extra practice and other study tools/resources can be found within My Subjects

To access My Subjects:

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Select My Subjects within the left side menu on the Home Page.
  4. Select your subject.
  5. Explore different learning modalities such as:
    1. Flashcards
    2. Quizzes
    3. Lessons
    4. And more!

What is Supplemental Tutoring?

Supplemental Tutoring hours allow you to receive as much 1-on-1 tutoring support as you need without having to purchase additional Learning Membership hours in advance or increase the number of recurring hours you receive each monthly billing period. 

Feel free to book more time with a tutor, tap into Instant Tutoring for that extra homework help, add a new subject to your tutoring routine, or even bring more family members on board. No matter why you're seeking out Supplemental Tutoring hours, we'll simply add the cost for the additional hours to the payment for your next monthly billing period at the same hourly rate as your current Learning Membership plan.

How are fees for Supplemental Tutoring hours calculated?
Fees for Supplemental Tutoring hours are based on the total 1-on-1 tutoring time in excess of your monthly billing period allotment of Learning Membership hours, multiplied by the hourly tutoring rate in your current Learning Membership plan. In other words, your monthly Learning Membership rate per hour multiplied by any additional hours you used that month. When will I be billed? 
Fees for Supplemental Tutoring hours are calculated at the end of your current monthly billing period and charged at the beginning of your next monthly billing period. The fee for Supplemental Tutoring hours is combined with the monthly Learning Membership fee in a single credit card transaction. This means that you may see a higher monthly charge to your credit card for the monthly billing period(s) when Supplemental Tutoring hours have been used.

How do I track my monthly tutoring usage?
You can easily track usage by following these steps:

  1. Log in to your Varsity Tutors account.
  2. Select the drop-down menu in the upper-right corner of the Home Page.
  3. Select My Account.
  4. Find the Live Learning box for more details regarding your remaining hours balance.

How do I use my Learning Membership plan hours for Instant Tutoring?

Your Learning Membership plan hours can be used for Instant Tutoring, providing the flexibility to get help when you need it most.

To start an Instant Tutoring Session:

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Click the Instant Tutoring button at the top of the page.
  4. Select the subject.
  5. Enter the topic or goal you'd like to review and click Request Session.
  6. Click Start Session Now.

How It Works:

  • Sessions are deducted from your monthly Learning Membership plan hours in 15-minute intervals.
  • Use Instant Tutoring for a quick 15-minute question, or extend your session for as long as you need.

Instant Tutoring is perfect for tackling quick questions, preparing for tests, or diving deeper into complex subjects at your convenience.

Does Varsity Tutors require advanced notice to schedule Supplemental Tutoring sessions?

Varsity Tutors does not require advanced notice prior to scheduling additional tutoring sessions beyond the hours provided within the purchased Learning Membership Plan. Supplemental Tutoring will be billed automatically based on the additional hours used at the end of each monthly billing period.

What happens to my Learning Membership hours each month?


With a Learning Membership plan, tutoring hours will be credited to the account each month based on the initial plan purchased. Hours are valid for one monthly billing cycle. On your billing date each month, any remaining hours expire and a new set of hours is added to the account. 

  • Unused hours from the previous cycle do not roll over. 
  • The balance of hours, usage, and billing date can be found within the Account page.

For example:
If the Learning Membership plan was purchased on the 15th of a given month, unused hours will expire and new hours will be added on the 15th of each month.

Can tutoring hours be used for other members of my family?

Tutoring hours can be shared among members of the same household under a single Learning Membership plan. This flexibility allows multiple learners to benefit from personalized tutoring.

Sharing Hours

Increase Frequency:
If multiple family members are using hours, the 8-hour-per-month plan is recommended to support consistent scheduling for all learners.

Customize Goals:
Each family member may work with an individual tutor and focus on unique learning needs.

Do monthly tutoring hours expire?

Your unused hours expire at the end of each billing cycle when your new monthly hours are added. We recommend scheduling sessions in advance to make the most of your monthly allocation. You can check your hours' expiration date in your account dashboard

How do I check my remaining tutoring hours?

You can quickly view your balance of tutoring hours by following these steps:

  1. Log in to your Varsity Tutors account.
  2. Select the drop-down menu in the upper-right corner of the Home Page.
  3. Select My Account.
  4. Find the Live Learning section.

  5. View your current balance in the Remaining field.

 

Note: On the My Account page, you can also view Scheduled Hours and Live Classes Signups.

Can I use certain parts of my Learning Membership plan while it is paused?

While on pause, you will have access to on-demand videos, practice materials, and adaptive assessments. However, you will not have access to 1:1 tutoring or live classes.  No monthly hours will be added to your account during the pause. Once your Learning Membership resumes at the end of the agreed-upon pause, the requisite 1:1 hours will be added to your account to begin using and you will have full access to all of the features of your Learning Membership.

How do I change the frequency of my tutoring sessions?

In order to change the frequency of tutoring sessions, follow the steps below.

To adjust the frequency of an existing tutoring schedule:

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.

  3. Select My Schedule from the left-side menu.

  4. Locate the session you wish to edit from the menu on the right.

  5. Click the three dots within the session box.

  6. Select Edit Session.

  7. Select This and Following to edit ongoing sessions.

  8. Choose the desired session length and frequency.

  9. Edit the session date and time if needed, then select Update Session.

Learning Membership plan hours may be used in any preferred scheduling pattern. However, having a steady weekly schedule is recommended to support consistent academic progress as regular meetings with a tutor can help reinforce learning and build continuity.

When changing the frequency or duration of sessions, please notify the tutor directly, as the updated schedule will require confirmation and agreement from the tutor. If more tutoring hours are used within a billing cycle than are allocated under your current Learning Membership plan, the additional hours will be billed at the end of the cycle according to the hourly rate associated with the Learning Membership plan.

How do I update my default payment method?

You can update your default payment method through the payment settings in your Varsity Tutors account by following these steps:

  1. Log in to your Varsity Tutors account.
  2. Select the drop-down menu in the upper-right corner of the Home Page.
  3. Select My Account.
  4. Select Payment Methods.
  5. Click Add payment method.
  6. Enter your card details under Add Payment Method.
  7. Click Add Card.

Once your payment method is updated, changes will take effect on the next business day. Any payments due the next business day or thereafter will be processed using your new default payment method (and your prior default payment method will not be charged).

How do I request an invoice or payment receipt?

An invoice or receipt can be requested by reaching out to Varsity Tutors' support team.

Steps to Request an Invoice:

  • Contact the support team through one of the options below.
  • Provide the details needed of the request (e.g., date range, specific transactions).
  • Allow up to 48 hours for processing.

How are Supplemental Tutoring fees calculated?

The hourly tutoring rate of the purchased Learning Membership Plan applies to any extra tutoring hours used within a monthly billing cycle.

For example:

  • If the purchased Learning Membership Plan includes 4 hours of tutoring per month at $349, then the hourly rate is $349 ÷ 4 = $87.25.
  • If an additional 1.5 hours of tutoring are used for scheduled 1-to-1 sessions or Instant Tutoring within a billing cycle, the supplemental fee is calculated as 1.5 hours × $87.25 = $130.88.

This extra fee will be added to the next monthly payment. In this case, the next payment would be $349 + $130.88 = $479.88.

This ensures that any student in the household can get the support needed within a given billing cycle without purchasing an additional Learning Membership Plan.

  1. Log in to your Varsity Tutors account.
  2. Select the drop-down menu in the upper-right corner of the Home Page.
  3. Select My Account.
  4. Locate the Your Plan box for more details regarding your Learning Membership Plan.

What is the refund policy for Learning Membership plans?

Learning Membership plan payments are not eligible for refund, as stated in the Terms of Customer Account Use.

To review signed documents, including the Terms of Customer Account Use:

  1. Log in to your Varsity Tutors account.
  2. Select the drop-down menu in the upper-right corner of the Home Page.
  3. Select My Account.
  4. Scroll down to the Quick Links box.
  5. Select Agreements.
