Varsity Tutors uses a rigorous evaluation process to ensure that only the most qualified tutors are selected. Only the top 15% of applicants ultimately qualify to tutor with Varsity Tutors.


Selection Process

Background Check:
All tutors undergo a comprehensive background check and are enrolled in an ongoing monitoring program to support the highest safety standards.

Video Interview:
Applicants complete a video interview that is evaluated through both AI scoring and human review to identify top candidates.

Subject Expertise Validation:
Tutors complete subject- and age-group-specific assessments to verify their expertise and ensure they are prepared to deliver accurate, up-to-date instruction.

Student–Tutor Matching Algorithm:
Once approved, tutors are matched with students through an AI-powered algorithm that evaluates more than 100 attributes, such as learning style, subject requirements, and academic goals, to support strong instructional alignment.


Ongoing Quality Assurance

Tutor performance is continually monitored through session ratings, client feedback, and session documentation to maintain high standards of instructional quality.

How can I rate my tutor or provide feedback on my session?

You can rate your tutor and provide feedback in two ways:

  1. Immediately After Your Session:
    • Once your session ends, you’ll see a screen prompting you to rate the session from 1 to 5 stars (1 being the lowest and 5 being the highest).
  2. Via Email:
    • After your session, you’ll receive an email with a link to rate your session and share your feedback.

Your feedback helps us ensure the highest quality of tutoring and improve the overall learning experience.

How do I schedule a tutoring session?

If you are currently engaged with a tutor and want to schedule a session:

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Select My Schedule from the left-side menu.
  4. On the calendar, select the date you want to schedule.
  5. Select Schedule.
  6. Follow the on-screen prompts to:
    • Select your tutor from the drop-down menu
    • Select your Session Length
    • Select Frequency
    • Select Date & Time
    • Select Ongoing or Fixed End Date
    • Add Notes
  7. Select Schedule Sessions after all required information is entered.

If you are not currently engaged with a tutor, or you want to add a new tutor for a new subject or another learner:

  1. Log in to your Varsity Tutors account.
  2. Select Tutoring from the left-side menu.
  3. Within the New Subject box, click Start Journey.
  4. Select one:
    • Help me find a tutor
      1. Type in the desired subject into the search bar.
      2. Follow the on-screen prompts to enter your:
        • Frequency
        • Session Length
        • Availability
      3. Finalize you details:
        • Preferred Start Date
        • Goals & Notes (Optional)
      4. Click Submit Request
    • I want to browse the tutors gallery
      1. Filter by name or university
      2. Filter by subject
      3. Click Schedule a Session in the desired tutor's bio
      4. Select the desire subject
      5. Select the Session Length
      6. Select Frequency
      7. Select your available days
      8. Select your desired Start Date and Start Time
      9. Select Series Duration
        • Ongoing or Fixed End Date
      10. Add Notes (Optional)
      11. Click Schedule Sessions

How do I reschedule a tutoring session?

In order to reschedule a tutoring session, follow these steps:

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Click on My Schedule in the left side menu.
  4. Within the calendar or on the right-hand side of the screen, t locate the session you wish to reschedule.
  5. Click on the 3 dots within the right side of the session box.
  6. Select Edit Session.
  7. Follow the on-screen prompts
  8. Finalize by clicking Continue.
  9. If you need immediate tutoring help and cannot wait to schedule, access Instant Tutoring here to be matched with an available instant tutor. This is also accessible at the top of the Home Page.

Important Note: Sessions that are scheduled to begin within the next 24 hours cannot be rescheduled through your account page on the Platform. If you need to cancel or reschedule a session within 24 hours of its scheduled start time, notify your tutor directly using the Messaging feature through the Platform. More information on session rescheduling is available here.

How do I cancel a tutoring session?
  1. Log in to your Varsity Tutors account.
  2. Navigate to the My Schedule section in the menu on the left.
  3. Locate Upcoming on the right side of the screen to view the tutoring session you wish to cancel.
  4. Click on the three dots within the right side of the tutoring session box.
  5. Select Cancel Session (in red).
  6. Confirm that you would like to cancel the session by clicking the red Cancel button within the pop-up screen.

 

Important Note: Sessions cannot be canceled within 24 hours. If you need to cancel a session within this timeframe, notify your tutor directly through your account. More information on our session cancellation policy here.

How do I cancel my session for today?

If the session starts in less than 24 hours, please contact your tutor directly to cancel (or attempt to reschedule). Canceling within 24 hours of the scheduled session may result in a deduction of half of the scheduled session length from your then-current balance of monthly account hours.

If you do not attend the session and no notice is provided to the tutor, it may result in a deduction of the full session length from your then-current balance of monthly account hours.

What happens if a session is cancelled?

We understand that schedules can change. Sessions must be canceled or rescheduled at least 24 hours in advance of the scheduled tutoring session in order to avoid it being invoiced to your account/deducted from your hours, as more fully described below.

Key Details About Session Cancellations and Rescheduling:

  • Advance Notice Required: Canceling or rescheduling a session requires at least 24 hours' notice in order to avoid being invoiced or have deductions to the hours in your account.  For the benefit of the tutor, please cancel or reschedule as soon as you are able, rather than waiting until just before the 24 hour notice deadline.
  • Late Cancellation or Rescheduling Policy: If a session is canceled or rescheduled with less than 24 hours' notice, half the session time will be deducted from your tutoring hours; however, the tutor may be able to remove some or all of the invoice or deduction if they so choose.
  • Why This Practice Exists: Tutors reserve time specifically for your session, and can invoice late cancellations or rescheduling to your account because they have already allocated the time, may have completed preparation, may have turned down other opportunities, etc.

Rescheduling: Regardless of the amount of notice, it is also best to try to reschedule another tutoring session rather than just cancel, so you know when your next scheduled session will occur.

How do I get a new tutor or replace my current tutor?

You can request a new tutor for a new subject or a different student, or replace your current tutor, from your Varsity Tutors account.

If you want to request a new tutor for a new subject or a different student

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Select Tutoring from the left-side menu.
  4. Within the New Subject box, click Start Journey.
  5. Select one:
    1. Help me find a tutor
      1. Type in the desired subject into the search bar.
      2. Follow the on-screen prompts to enter your:
        1. Frequency
        2. Session Length

If you want to replace your current tutor

  1. Log in to your Varsity Tutors account.

  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.

  3. Select Tutoring from the left-side menu.

  4. Scroll down to the tutor you want to replace under Active Tutors.

  5. Select the 3 dots in the bottom right of the tutor's box.

  6. Select Remove Tutor.

  7. Follow the steps for If you want to request a new tutor for a new subject or a different student above to initiate to start a new tutor search.

Note: You can replace a tutor at any time. When you submit your request, include details about your learning goals and preferences to help us find the best match. We’ll reach out if we need more information.

 

Important Note:

Once you submit your request to replace a tutor, you will no longer be engaged with your current tutor, and a new tutor request will be initiated.

How do I get help before I am matched with a tutor?

If you have not yet been matched with a tutor, you can get immediate support through our Instant Tutoring feature. 

To start an Instant Tutoring Session:

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Click the Instant Tutoring button at the top of the page.
  4. Select the subject.
  5. Enter the topic or goal you'd like to review and click Request Session.
  6. Click Start Session Now.

You’ll be connected with a vetted, qualified tutor within minutes to assist with your needs right away!

 

How It Works:

  • Sessions are deducted from your monthly Learning Membership plan hours in 15-minute intervals.
  • Use Instant Tutoring for a quick 15-minute question, or extend your session for as long as you need.

Instant Tutoring is perfect for tackling quick questions, preparing for tests, or diving deeper into complex subjects at your convenience.

What should I do if my tutor doesn’t show up to my session?

If a tutor does not attend a scheduled session, select one of the options below:

How to contact your tutor directly:

  1. Log in to your Varsity Tutors account.

  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Click Messages located on the left side menu.

  4. Select the tutor.

  5. Type the message and click the paper airplane button to send.


How to Access Instant Tutoring:

  1. Log in to your Varsity Tutors account.

  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.

  3. Click the Instant Tutoring button at the top of the page.

  4. Select the subject.

  5. Enter the topic or goal you'd like to review.

  6. Click Start Session Now.


How to reschedule a session:

  1. Log in to your Varsity Tutors account.

  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.

  3. Select My Schedule from the left-side menu.

  4. Locate the session you wish to edit from the menu on the right.

  5. Click the three dots within the session box.

  6. Select Edit Session.

  7. Follow the on-screen prompts.

  8. Finalize by clicking Update Session.


How to request a new tutor:

  1. Log in to your Varsity Tutors account.
  2. If you have more than one student, select the correct student profile from the dropdown menu in the top-right corner of the Home Page.
  3. Select Tutoring from the left-side menu.
  4. Within the New Subject box, click Start Journey.
